EXTENDED INFORMATION ON THE PROTECTION OF YOUR PERSONAL DATA

Who is responsible for the processing of your data?

The data controller is the Universidad Francisco de Vitoria (UFV).

For what purposes will we process your personal data?

At UFV we will process your personal data for the following purposes:

– The management of scholarship applications granted by the Universidad Francisco de Vitoria (or by the UFV in collaboration with another entity) is also included. This also extends to the administrative management derived from the payment of the same in the case of the Universidad Francisco de Vitoria. Finally, the management of scholarships granted by public administrations is also included. In the latter case, the Universidad Francisco de Vitoria will be responsible for collating all the necessary information and forwarding it to the relevant public authority.

– This is to inform you that any and all communications pertaining to the aforementioned procedures will be sent to you via the following means: electronic, including but not limited to e-mail and the candidate’s or student’s portal.

What is the legal basis for the processing of your data?

The legal basis for data processing is the consent of the individual, which is obtained by ticking the appropriate box included in the basic information.

Should your scholarship application lead to the processing of special categories of personal data, such as data concerning health or religious convictions, you will be asked to provide explicit consent for such processing.

How long will we keep the personal data?

Your personal data will be retained for a period of up to one year following the conclusion of your current studies. The one-year period will commence upon your readiness to obtain the degree that certifies the completion of your studies.

To which recipients will your data be communicated?

The data provided will be communicated to third parties:

– Public administrations granting the scholarships you are applying for, if applicable.

– Entities collaborating with UFV in the granting of scholarships, if applicable.

– Tax Agency in the event that such communication is mandatory.

Several application and computer support providers are authorized to access personal data when executing contracts with Universidad Francisco de Vitoria. Universidad Francisco de Vitoria has entered into a data access contract with these providers in accordance with the requirements of Article 28 of the General Data Protection Regulation, which provides sufficient guarantees for the processing carried out by these providers. Some of the providers are based outside the European Union. In light of this, the Universidad Francisco de Vitoria requests additional guarantees in line with the international transfer provisions set out in the General Data Protection Regulation.

What are your rights in relation to data processing?

Any individual has the right to request information regarding the processing of their data, access their personal data, request the rectification of inaccurate data, or, when applicable, request deletion. This right is exercised when the data are no longer necessary for the purposes for which they were collected or when the data subject withdraws their consent.

In certain cases, the interested party may request the limitation of the processing of their data. In such instances, we will only retain the data in accordance with the applicable regulations.

In certain cases, you may exercise your right to data portability. This will be provided in a structured, commonly used, or machine-readable format to you or the new data controller you designate.

You have the right to withdraw your consent at any time for any of the processing activities for which you have provided consent.

To exercise your rights, you must submit the appropriate electronically signed documentation. If you are acting through a representative, the letter must be accompanied by a copy of the power of attorney, as well as a copy of your ID card or an electronically signed document.

All written materials must be submitted in person at the University Registry or via mail to the address listed in the “Responsible” section.

You have the right to contact our data protection officer regarding all matters relating to the processing of your personal data and the exercise of your rights under this Regulation, and to lodge a complaint with the competent supervisory authority in the event that you consider that the exercise of your rights has not been adequately addressed.

The maximum allowable resolution period is one month from the date of the request. In the event that the request is deemed to be particularly complex or if a high volume of requests is received, the resolution period may be extended by an additional two months.

Should any changes be made to your data, we kindly request that you inform us in writing so that we can ensure your information is kept up to date.
