EXTENDED INFORMATION ON THE PROTECTION OF YOUR PERSONAL DATA

who is responsible for the processing of your data?

The data controller is the Universidad Francisco de Vitoria (UFV).

For what purposes will we process your personal data?

At UFV we will process your personal data for the following purposes:

  • To assist you with your request for international mobility, including the management of the associated process, for the purpose of undertaking a temporary stay at a foreign university or institution.
  • To send you, by any means, including electronic means (SMS, WhatsApp, email, and social networks), communications related to the process.

What is the legitimacy for the processing of your data?

The legal bases that legitimize the treatments are:

  • In accordance with the legal obligations set forth in Organic Law 6/2001, of December 21, on Universities, and its implementing regulations, as well as in Royal Decree 1791/2010, of December 30, approving the Statute of the University Student.
  • The execution of the contract signed by the data subject.
  • The consent of the data subject by checking the corresponding boxes enabled for this purpose in the basic information.
  • The legitimate interest of the data controller.

For how long will we keep the personal data?

Personal data will be retained for a period of five years from the date of collection in the event that the interested party has applied for an Erasmus grant, as provided for in clause II.27.2 of Annex I of the General Conditions of the Grant Agreement relating to the Erasmus Program. Alternatively, the data will be retained for the duration of the corresponding program, agreement, or signed agreement. In the absence of such an agreement, the data will be retained for the duration of the individual’s studies at the UFV (in the case of students) or while they are employed as a professor or administrative and service staff of the UFV.

To which recipients will your data be communicated?

Your data, both that already held by UFV and that you are required to provide for this purpose, will be communicated to the foreign university or institution where you will be staying and to public and/or private organizations that finance international mobility programs and that require this information for the supervision of the program.

In all other instances, the information provided will not be shared with third parties, except with service providers who require access to the data.

The Universidad Francisco de Vitoria has a number of providers of applications and computer support who may require access to personal data in order to fulfill the terms of this contract. The Universidad Francisco de Vitoria will always have a data access contract in place with the relevant providers, in accordance with the requirements set out in Article 28 of the General Data Protection Regulation. This will provide sufficient guarantees regarding the processing conducted by these providers. Please note that some of the providers are based outside the European Union. In view of the above, the Universidad Francisco de Vitoria requests additional guarantees in line with the international transfer provisions set out in the General Data Protection Regulation.

What are your rights in relation to data processing?

Any individual has the right to request information regarding the processing of their data, access their personal data, request the rectification of inaccurate data, or, when applicable, request the deletion of data that is no longer necessary for the purposes for which it was collected or when consent is withdrawn.

In certain cases, the interested party may request the limitation of the processing of their data. In such instances, we will only retain the data in accordance with the applicable regulations.

In certain cases, you may exercise your right to data portability. This will be provided in a structured, commonly used, or machine-readable format to you or the new data controller you designate.

You have the right to withdraw your consent for any of the processing activities for which you have provided consent.

To exercise your rights, you must do so by sending the corresponding email to dpd@ufv.es or in writing signed manually or electronically. If you act through a representative, in addition to submitting a manually or electronically signed letter, you must provide proof of such representation.

The written submissions must be done in person at the University Registry or send them by mail to the address listed in the “Responsible” section.

As a data subject, you have the right to contact our data protection officer regarding any matter related to the processing of your personal data and the exercise of your rights under this Regulation. Additionally, you have the right to lodge a complaint with the relevant supervisory authority in the event that you believe your rights have not been adequately addressed.

The maximum allowable resolution period is one month from the date of the request. In the event that the request is deemed to be particularly complex or if a high volume of requests is received, the resolution period may be extended by an additional two months.

Should any changes be made to your data, we kindly request that you inform us in writing so that we can ensure your information is kept up to date.
