EXTENDED INFORMATION ON THE PROTECTION OF YOUR PERSONAL DATA

who is responsible for the processing of your data?

For what purposes will we process your personal data?
At UFV we will process your personal data for the following purposes:

  • To manage your enrollment in conferences, seminars, congresses, workshops or courses organized by the Universidad Francisco de Vitoria (UFV), as well as to send you, by any means, including electronic ones, notices informing you of the status of the same and/or, if applicable, your presentation of notices for said conferences, congresses, etc.
  • To record and/or publish videos and images on the University’s teaching platforms (CANVAS, BLACKBOARD, TEAMS, ZOOM, etc.) in which they may present their work. ) videos and images in which they may appear as a result of their participation in the various activities of the University, for which purpose he/she cedes, exclusively and free of charge, to the UFV, if applicable, any rights that may correspond to him/her by virtue of the provisions of the Royal Legislative Decree 1/1996, of April 12, which approves the revised text of the Intellectual Property Law, regulating You expressly consent to the transfer of your image and copyright to the UFV, and to the treatment of such images in accordance with the regulations in force in Spain.
  • In addition, if you wish, you can consent (by ticking the boxes provided for this purpose in the basic information) to the publication on the various University websites and social networks of videos and images in which you may appear as a result of your participation in the various activities organized by the University, for which you waive your rights in the terms already indicated, or to the sending of communications relating to the various activities organized by the University. Communications may be sent by electronic means.

In the event that you are invited to participate in specific promotional activities of the Universidad Francisco de Vitoria, you will be asked for your documented consent if your image is of a relevant nature.

What is the legitimacy for the processing of your data?
The legal bases that legitimize the processing are:
Consent and execution of a contract related to the registration for the conference, seminar, congress, workshop or course. In some cases, the legitimate basis will be the fulfilment of a legal obligation, as in the case of internal training for UFV employees, in accordance with the provisions of art. 4.2.b) of Royal Legislative Decree 2/2015, of October 23, approving the revised text of the Workers’ Statute; or in the case of training for our students, in accordance with the provisions of Organic Law 6/2001, of December 21, on Universities, Organic Law 2/2006, of May 3, on Education and its implementing regulations.
The recording or publication on the University’s teaching platforms (CANVAS, BLACKBOARD, TEAMS, ZOOM, etc.) of images in which you may appear as a result of your participation in University activities is based on the performance of a contract or the fulfillment of a legal obligation (in the terms already indicated in the previous section), if the recording or publication of your intervention, participation or presence was mandatory (as in the case of mandatory attendance in classes or exams or evaluation tests of a course). If the activity is voluntary (such as a conference, seminar, or congress) and the recording of your image is not required as proof of your participation, you consent to such recording or publication of the image if you take a clear affirmative action, such as connecting your webcam and/or microphone in the case of online activities, or if you participate in a University activity where you are aware that you are being recorded and stand in front of the cameras or intervene by asking questions or making comments to the speakers. In the event that you are invited to participate in specific actions to promote the Universidad Francisco de Vitoria, you will be asked for your documented consent if your image is relevant.
In relation to the remaining purposes: consent of the interested party by checking the corresponding boxes included in the basic information.
Your explicit consent would be required if your participation in the event could result in knowledge of your religious beliefs, or if the University needs to know certain information about the participants’ health in order to provide them with appropriate food and to know what to do in case of an emergency.

How long will we keep the personal data?
Personal data will be processed for the following periods:

  • If the purpose of the processing is to manage your registration in the conference, seminar, congress, workshop or course as a participant: as long as it is necessary to carry out such management. In case the University issues certificates for such activities or they are recognized as complementary training activities for students, indefinitely: the interested party may request such certificates at any time.
  • Regarding the speakers and papers presented at the conference, seminar, congress, workshop, or course, they will be retained indefinitely.
  • The processing of your data is necessary for the purpose of inviting you to future activities organized by UFV or for the publication on the university’s web pages and social networks of videos or images of the event. This processing will continue as long as you do not revoke the consent granted or object to the processing carried out.

To which recipients will your data be communicated?
In the event that the professors or speakers are external staff of the UFV, they may have access to the personal data of students or attendees, should it be necessary.
In the event that you have provided us with data belonging to third parties during the registration process, the university may inform such third parties that you have made your personal data available to us.
In cases where the interested party has authorized the publication of their image online, there is the potential for transfer to any individual or entity that accesses the information. In the event that the image is published on social networks (e.g., Facebook, Twitter, Instagram) or other Internet platforms (e.g., YouTube), an international transfer of data would occur since the servers of such platforms are located in the USA and/or other countries outside the EU. Therefore, authorization is also requested for such transfer. Furthermore, publishing images on external platforms entails acceptance of their privacy policies. We advise you to familiarize yourself with these policies.
Several application and computer support providers at Universidad Francisco de Vitoria may have access to personal data when executing such contracts. Universidad Francisco de Vitoria will always have a signed data access contract with these providers in accordance with the requirements of Article 28 of the General Data Protection Regulation. This contract will provide sufficient guarantees for the processing carried out by these providers. Some of the providers are based outside the European Union, so Universidad Francisco de Vitoria requests additional guarantees in line with the international transfer provisions set out in the General Data Protection Regulation.

What are your rights in relation to data processing?
Any individual has the right to request information regarding the processing of their data, access their personal data, request the rectification of inaccurate data, or, when applicable, request the deletion of data that is no longer necessary for the purposes for which it was collected or when consent is withdrawn.
In certain cases, the interested party may request the limitation of the processing of their data. In such instances, we will only retain the data in accordance with the applicable regulations. In certain cases, you may exercise your right to data portability. This will be provided in a structured, commonly used, or machine-readable format to you or the new data controller you designate.
You have the right to withdraw your consent at any time for any of the processing activities for which you have provided consent.
To exercise your rights, please send the corresponding email to dpd@ufv.es or submit a written request, signed manually or electronically.
If you are acting through a representative, in addition to submitting a written document signed manually or electronically, you must provide proof of such representation.
The written submissions must be handed in in person at the University Registry or send them by mail to the address listed in the “Responsible” section.
As a data subject, you have the right to contact our data protection officer regarding all matters relating to the processing of your personal data and the exercise of your rights under this Regulation. Additionally, you have the right to lodge a complaint with the competent supervisory authority in the event that you consider that the exercise of your rights has not been adequately addressed.
The maximum allowable resolution period is one month from the date of the request. In the event that the request is deemed to be particularly complex or if a high volume of requests is received, the resolution period may be extended by an additional two months.
Should any changes be made to your data, we kindly request that you inform us in writing so that we can ensure your information is kept up to date.
